Reports to: KMS Executive Director
Work schedule: Generally 8 hours per day per schedule, 8:00 a. m. – 5:00 p.m.
Location: Topeka, KS

Position Overview:

The Association Management Coordinator is a key position within KMS and serves as the primary administrator/support staff for various specialty, county or affiliate medical societies that contract with KMS. The position is responsible for activities related to communication, recruitment and retention of membership; oversight of membership data base; communication with affiliate medical societies and other KMS partners; coordinating activities of specialty and affiliate medical societies as directed; performing accounting and finance duties as assigned; assisting with the professional practices review services and assist with the planning and execution of the KMS annual members meeting; and assisting with scheduling and arranging committee meetings.

Essential Functions:

  • Serve as initial point of contact for all membership-related inquiries from members of contracted partners, affiliated organizations, and other organizations associated with KMS.
  • Provide active leadership and support for all membership organizations that contract with KMS for organizational support services.
  • Maintain and improve the quality of communication and support with leadership of contracted organizations.
  • Manage contracted organizations’ membership database, including ensuring accuracy of information for current members as well as obtaining accurate information for potential members.
  • Manage new member application process for KMS and all other contracted organizations.
  • Work closely with Finance staff to verify accuracy of contracted organization dues payments, accounts payable/receivable and maintain appropriate financial records.
  • Participate in the development, execution and maintenance of internal systems which will improve the efficiency of contracted membership processes.
  • Serve as coordinator of specialty and affiliate societies including recruiting members within each society to KMS membership; planning and attending annual and board meetings as directed; maintaining timely financial accounting and appropriate federal and state government filings.
  • Attend meetings, prepare informational materials and perform other functions as directed.
  • Assist with coordination of the KMS Professional Practice Review Service.
  • Assist with coordination and execution of KMS annual members meeting planning as directed.
  • Perform other duties as assigned.

Qualifications and Skills Requirements:

  • Associate or bachelor’s degree preferred. Field experience will be considered.
  • Experience in non-profit associations is helpful.
  • Must have the ability to supervise and work with other staff members.
  • Must have the ability to communicate effectively with staff and member physicians.
  • Must be an effective organizer, detail oriented, and able to motivate members and staff to achieve their fullest potential.
  • Must be knowledgeable in administrative matters and perform them efficiently.
  • Must have strong computer skills in Microsoft Office, including Word, Excel, Publisher, PowerPoint and Outlook.
  • Must have high level of interpersonal skills.
  • Must possess initiative, adaptability, time management, good judgement and the ability to multi-task.
  • Must treat much information received as confidential.
  • Must be dependable and able to assume responsibility.
  • Must be able to work with minimal supervision.
  • Must be able to set priorities and meet deadlines.
  • Must have the ability to travel, work occasional weekends, and occasionally spend time away from home.

Physical Demands:

  • Lift and move items up to thirty (30) pounds
  • Sit, stand and walk for extended periods of time
  • Ability to work on the computer for hours at a time and concentrate on detailed information
  • Bend, kneel and reach items with use of hands/fingers to handle or feel objects, tools or controls
  • Must be able to speak and listen effectively
  • Vision abilities for close vision, color vision, peripheral vision, and depth perception

Work Environment:

  • Professional office environment in Topeka, Kansas.
  • Contact with medical office staff, physicians, attorneys, and general public.
  • Some travel is required.
