Schedule: Monday through Friday, or as determined
Job Classification: Non-exempt, Part-time (20-25 hours per week)
Reporting Relationship: Director of Development
Salary: $18-$21/hr, negotiable based upon experience

Primary Accountabilities:
The Administrative Assistant, under general direction from the Director of Development, provides clerical and administrative support for Dear Neighbor Ministries and StepStone.

Major Duties:

  • Enters gifts, pledges and donor information into donor management database in a timely fashion.
  • Prepares thank you letters and tax receipts for mailing to donor promptly after receipt of gift.
  • Ensures timely and accurate transmission of gifts to the finance department. Reconcile monthly.
  • Prepares special event and general correspondence as required.
  • Maintains database and assists others authorized to enter data.
  • Prepares database queries and other reports as required.
  • Maintains correspondence related to memorial and/or tribute donations.
  • Participates in planning and creative design for fundraising events.
  • Create and publish posts on Dear Neighbor Ministries Facebook, LinkedIn, Instagram and Twitter accounts.
  • Assist with correspondence and communications related to the Hilltop Community Center and the Hilltop Neighborhood Association.
  • Serves as front desk receptionist as needed.
  • Performs other related assigned duties.
  • Projects a professional image. Demonstrates courteous and cooperative behavior toward staff, vendors, visitors, etc.
  • Maintains dress and appearance appropriate for the position and in compliance with Hilltop Aspires dress code policies.
  • Attends assigned and/or required in-services and staff meetings.
  • Performs other duties as assigned.

Education and Experience:

  • Prefer college degree and/or computer training.
  • Experience or training in database management, fundraising or general office responsibilities.
  • Must demonstrate proficiency in MS Office, Excel, Publisher, e-mail and website.

Certification, registration, or license:

  • Class C driver’s license, motor vehicle, and insurance required.

Physical Demands:
Ability to lift up to 40 pounds occasionally and up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. May be assigned to multilevel building with some floors accessible by stairs only. Minimal requirements of moving about the office. Sit about 40% of the time. Frequently express ideas by spoken words. Frequently operate equipment requiring moderate ability.

Work Environment:

  • Inside/indoor office environment which provides protection from weather condition, but not necessarily temperature changes.
  • Interaction with staff and participants.
